5-3 Procedures to handle after a job offer

Once you receive a job offer, apply for a change of visa as soon as possible. Generally, applications can be filed from December 1 (for the Tokyo Regional Immigration Services Bureau).

You must submit your application in person. Remember that there are documents the company that offered you the job and your school must prepared as well.

Application documents

    Documents that prove the relevance of your field of study to the job and place of employment, such as proof of passing a professional qualification, a list of courses taken, etc.

2. Documents your employer must prepare

  1. (1) Employment contract, etc. (with job descriptions, amount of remuneration, and other working conditions)
  2. (2) Documents proving business activities (company brochure, company profile on website, etc.)
  3. (3) Certificate of registered matters (certified copy of commercial/corporate registration; issued within the last three months)
  4. (4) Financial documents (balance sheets and income statements)
  5. (5) Tax payment certificate (for the previous year: total statutory report)
3. Documents your school must prepare
  1. (1) Certificate of graduation (diploma/proof of degree)

Note: If you are still enrolled in the school, please obtain a certificate of expected graduation.

Reapplication is possible even if your application is rejected

If your application for a change of visa has been rejected, please confirm the reason for the rejection. Depending on the reason, you may be able to reapply.

Reason for rejection that leaves reapplication possible (example)→The content of study at the school does not match the content of the work at the place of employment.

One very common reason that applications from professional training college students are rejected is that the details of their studies at the school are not accurately conveyed to the screening committee, even though they meet the requirements. In such cases, attach documents that prove the relevance of your field of study to the job and employer as described in “(6) Other documents as necessary” and reapply.
On the other hand, a “bad residence situation” can cause your application to be rejected even if you meet the conditions. A bad residence situation can mean a violation of activities outside your visa status (e.g., overwork), low attendance or poor grades. In many cases, a failure to pay taxes will also result in rejection.
